A practical approach
Use the customer’s confirmed information and check the relevant project documents for inconsistencies. Do not overwrite a legal or ownership detail based only on a nickname in a conversation. Route unclear discrepancies to the appropriate reviewer. Keep preferred contact names separate from fields used for formal documents when the system supports that distinction.
