A training document needs an owner who can resolve conflicts with the live process.
A practical approach
Record the version and review date, especially for instructions tied to changing tools or products. Give reps a way to report an outdated step. When a process changes, explain the difference and retire obsolete instructions from normal use. Avoid expecting the team to remember which screenshot is no longer accurate.
