Organizing project attachments by purpose
A receiving team should be able to identify the right file without opening every attachment.
A practical approach
Use descriptive names that include the document type and relevant revision or date. Group photos and forms according to the task they support. Keep superseded files distinguishable from the current version. Do not place sensitive documents in a broadly accessible folder simply because it is convenient to share a link.
Put it into practice
- Use descriptive filenames
- Identify current versus superseded files
- Respect document access boundaries
