Preparing an exception for operational review
An exception request should make the decision easy to understand without pressuring the reviewer toward approval.
A practical approach
Describe the standard requirement, the unusual condition and the alternative being requested. Include the evidence and any known customer impact. Identify who is authorized to decide. Until that decision is recorded, keep the exception pending and avoid telling the customer that the alternate approach has been accepted.
