Writing notes another rep can actually use
A useful note preserves the customer’s situation without requiring the next person to interview you first.
A practical approach
Record the topic discussed, the customer’s stated interest, unresolved questions and the next agreed action. Separate observations from your interpretation. For example, write that the customer requested an evening call rather than labeling them difficult to reach. Keep unnecessary personal details out of the record and use the designated fields for contact preferences.
